Specify 304 by component and construction
List every metal component and identify the required grade for each one. A buyer may specify 304 for the beverage-contact inner wall while the outer wall uses another suitable grade, but that configuration must be explicit. Include nominal thickness or an agreed range, single-wall or double-wall construction, bottom design, neck and thread details, and whether any accessory contains exposed metal. Avoid broad purchase-order wording that cannot be checked during inspection.
Ask for a drawing and component bill of materials for the selected SKU. If a supplier proposes an alternative grade, thickness, lid, or base, require written approval before the change. The finished product should also be evaluated for its intended beverage, contact time, cleaning chemistry, storage environment, and destination. Material choice is part of a system, not a substitute for design and use validation.
Review forming, welding, and vacuum construction
Bottle bodies pass through forming, trimming, necking, joining, polishing, cleaning, and assembly stages. Ask how wall consistency, mouth dimensions, thread fit, weld condition, and visible defects are checked. For vacuum-insulated models, the inner and outer vessels must be assembled, evacuated, sealed, and tested. A material certificate alone does not prove thermal performance or manufacturing quality.
Define thermal testing with starting temperature, fill volume, ambient condition, lid state, time points, measuring equipment, and acceptance rule. Separate insulation from leakage: a bottle can retain temperature yet fail at the lid. Sample the final assembled model with the actual gasket, straw, handle, and accessories. Keep recorded results by sample ID and production lot where practical.
Control surface preparation and decoration
Bare steel, powder coating, spray paint, soft-touch finishes, and decorative transfers require different preparation and acceptance criteria. State color references, gloss or texture targets, masking areas, logo method, artwork size, position, orientation, and acceptable variation. Curved walls and tapered profiles can distort graphics or limit registration. A digital proof should be followed by a decorated physical sample.
Agree how adhesion, abrasion, color difference, scratches, dust marks, orange peel, exposed edges, and logo defects will be judged. If dishwasher use is claimed, confirm that the exact coating and decoration have an appropriate validation plan; otherwise provide clear hand-wash guidance. Packaging should prevent decorated units from rubbing during export transport.
Match lids, plastics, and seals to the claim
The lid determines drinking experience, cleaning effort, and much of the leak behavior. Record lid resin, straw, gasket, valve, handle, hinge, vent, and any metal part. Define whether the product is intended to be leakproof when inverted, splash-resistant on a desk, or simply covered during drinking. These are different claims and require different test orientations and durations.
BPA-related or food-contact statements should be supported for the relevant plastic and silicone components, not inferred from the steel body. Confirm whether the gasket can be removed, whether replacement parts are available, and how users should clean and dry hidden channels. A premium steel specification cannot compensate for a poorly controlled closure system.
Create an OEM approval and change-control record
The approval package should include model number, drawing, bill of materials, decorated sample, color reference, artwork proof, lid and accessory list, packaging specification, applicable reports, and inspection criteria. Assign revision numbers so buyer and supplier work from the same files. State which changes require new sampling or testing, including steel source, grade, thickness, lid resin, pigment, coating, ink, adhesive, and packaging.
For repeat orders, compare the production sample with the retained reference and review any updated evidence. Confirm quantity by model and color, MOQ, sample timing, production milestones, inspection booking, Incoterm, and delivery point. A disciplined record lets buyers scale an OEM program without relying on memory or informal chat messages.
Plan sampling, purchasing, and repeat orders
Use a sequence of functional sample, decorated sample, and packed pre-production sample when project risk justifies it. The functional sample proves model and lid direction; the decorated sample proves color, finish, and artwork; the packed sample proves the final sellable configuration. Record which stage is approved and which open points remain. A sample should never be treated as final merely because it arrived first.
In the purchase order, identify the approved revision, quantities by color, spare components, testing, inspection, packaging, shipping marks, and release conditions. For repeat business, review complaints, returns, replacement-part requests, and production variation before reordering. This creates a feedback loop in which the next 304 bottle order is based on field evidence as well as the original specification.
